Saratoga Headshot Company

Privacy Policy

Effective and last updated: October 14, 2026

This policy explains how Saratoga Headshot Company by SaratogaSprings.io, collects, uses and handles personal information when you visit our website, request information, book photography services or communicate with us.

1. Who we are and how to contact us

We are a professional headshot photography business based in Saratoga Springs, New York. For privacy questions, requests or concerns, email louis@saratogasprings.io.

2. Information we collect

  • Information you provide: your name, email address, phone number when provided, company, job title, team size, requested service, scheduling details, and the contents of inquiries and communications.
  • Booking and service information: appointment details, correspondence, photography preferences, and photographs and image selections associated with your session.
  • Website activity: pages visited, referral source, visit time, IP address, approximate city or region derived from that address, and device or browser information collected by our website and analytics services.
  • Business contact information: professional contact and organization information from public business sources or lead-research services when relevant to our business outreach. This is not consent to receive marketing texts.
  • Account and consent records: access and security records where applicable, communication preferences, and any separately obtained SMS opt-in or opt-out records.

Please do not send sensitive information, such as Social Security numbers, financial account details or medical records, through our inquiry forms. A photograph is not, by itself, a facial-recognition template; this website does not offer a facial-recognition feature.

3. How we use information

We use information to respond to inquiries, prepare quotes, arrange appointments, provide and deliver photography services, maintain customer and business-contact records, communicate about services, understand website use, prevent misuse, protect security, and meet legal obligations. Where required, promotional communications or optional tracking require separate consent.

Submitting an inquiry or booking does not, by itself, authorize recurring marketing text messages. Permission to use a client photograph for our portfolio or advertising is separate from this privacy policy and is governed by the applicable agreement or release.

4. Cookies, analytics and local storage

The website uses Google Analytics 4 to understand visits and page activity. Google Analytics may use cookies and collect device identifiers, browser details and interaction data. We also record visits, including IP address, approximate location, page and referral source, for business reporting. Blocking analytics cookies may not stop this separate visit logging.

Browser storage is also used for authentication and remembered access preferences. Booking services may set their own cookies when you open or use their calendar.

You can manage cookies in your browser and use the Google Analytics opt-out browser add-on. Learn more in Google’s privacy policy. Blocking cookies may affect some functionality. This policy does not itself install a cookie-consent or preference tool.

5. When information is shared

Information is handled by service providers that support hosting and storage, analytics, appointment scheduling, business-contact management, email and internal notifications. Our current tools include Lovable Cloud, Google Analytics, Calendly, Airtable, Microsoft Outlook and Slack. IP-based approximate-location lookup may also use ipwho.is. We limit disclosures to the purpose of the service or business task.

We may also disclose information when required by law, to respond to valid legal requests, protect rights or safety, or in connection with a business transfer subject to appropriate protections. Third-party websites and services have their own privacy policies.

We do not sell personal information or share it for third-party marketing. Analytics providers’ processing is described above; legal definitions of “sale” and “sharing” differ by jurisdiction.

6. Mobile information and SMS consent

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. Text-message opt-in data and consent will not be sold, rented or shared for another party’s marketing. Limited disclosure to messaging providers acting on our behalf is permitted only to deliver and support the messages you requested, or as required by law.

Our headshot inquiry page offers separate, optional marketing and informational SMS choices. See our SMS Terms of Use for consent, message frequency, rates, help and opt-out information. We record the consent choices and wording you agree to with your request. No automated text-sending service is connected yet. An unsuccessful submission does not record consent or enroll you.

7. Retention and security

We retain information only as reasonably needed for the purposes described here, including customer service, delivery of images, business records, legal obligations and dispute resolution. Retention depends on the record type and applicable requirements; consent and suppression records may be kept to document permissions and honor opt-outs.

We use reasonable administrative and technical safeguards to protect information. No online transmission or storage system can be guaranteed completely secure. Deletion requests may be subject to legal recordkeeping requirements and the ordinary lifecycle of protected backups.

8. Your choices and privacy rights

You can ask to access, correct or delete your information, obtain a copy, update communication preferences, or withdraw consent where processing depends on it by emailing louis@saratogasprings.io. We may need to verify your identity and, for an authorized agent, their authority, without requesting unnecessary information.

Depending on your location and whether a law applies to our business, you may also have rights to data portability, restriction or objection, and to opt out of a sale, targeted advertising or certain profiling. We honor applicable legally required opt-out preference signals. We do not deny services or discriminate because you exercise applicable privacy rights.

If we deny a request, you may ask us to reconsider by replying with “Privacy appeal.” Where applicable, we will explain the decision and available appeal or regulator complaint options. State privacy laws have different coverage thresholds and exceptions; serving a state does not mean every provision applies to this business.

9. Children’s privacy

This website is intended for adults arranging professional services and is not directed to children under 13. We do not knowingly collect personal information online from children under 13. If you believe a child has supplied information, contact us so we can review and remove it as appropriate.

10. International visitors

We are based in the United States, and information may be processed in the United States or other locations used by our providers. Privacy protections may differ from those in your country. Where applicable law requires it, we rely on an appropriate legal basis and safeguards for processing and transfers; visiting this website is not blanket consent to all processing.

11. Changes to this policy

We may update this policy as services, practices or legal requirements change. The revised policy will be posted here with an updated date. Where required, we will provide additional notice or obtain new consent before materially changing how information is used.
