How to Prepare Your Team for Consistent Corporate Headshots
Create a unified directory without making every employee look identical: a shared brief, repeatable framing and an organized handoff.

Standardize the background, lighting, crop and file handling—not each person’s expression or personality.
Agree on the visual standard
A consistent team page is built from repeatable decisions: background, lighting direction, camera height, distance and crop. Pick a reference portrait and review how it looks next to other employees at the size used on your website. A striking standalone image may not be the best fit for a small directory grid.
Share the standard with the photographer and the person responsible for publishing the images. Decide whether you need a square profile crop, a vertical biography crop or both, and leave enough room in the original framing for those uses.
Give everyone the same wardrobe guidance
A common dress level helps a team look intentional without requiring identical outfits. A law firm may prefer business attire; a medical practice may choose white coats, scrubs or business clothing by role. Explain the choice rather than leaving staff to interpret “dress professionally” differently.
Share examples and note anything that should be avoided, such as prominent outside logos. Let people wear clothes that fit comfortably and allow their own style within the agreed brief.
Check a sample before the full schedule starts
Review an early portrait for background, framing, exposure and intended crops before photographing the rest of the team. The coordinator should look at the sample in context: does it fit the directory and leave room for the crop the website needs?
Consistency does not mean identical posture or expression. Small adjustments for height, glasses, comfort and mobility can be made while retaining the shared visual standard. Tell the photographer about accessibility needs discreetly ahead of time.
Keep the handoff as consistent as the photographs
Good files can still look uneven if each department crops or edits them differently. Appoint one publishing owner, use the approved versions and keep a common crop across the directory. Avoid applying new filters or automatic “enhancements” to individual photos after delivery.
- Use one agreed naming convention, such as employee-name-approved.
- Keep original delivered files separate from website-sized copies.
- Check names and roles before publishing.
- Update biographies, directories and other professional profiles together.
Make the next new hire part of the plan
Keep the approved reference, crop requirements and style brief with the team’s communications assets. When a new employee joins, share those references rather than requesting a vaguely similar photograph. Saratoga Headshot Company’s law-firm page describes recording lighting, backdrop and framing for future hires; discuss how that approach applies to your organization.
Review the directory periodically for missing portraits or images that no longer match. A short maintenance list is more useful than waiting until the whole page has become inconsistent again.
