What to Expect from an On-Site Corporate Headshot Event
A clear guide to arrival, photographer-led direction, image review and returning to work during a company photo day.

Know your time and room, arrive ready to photograph and ask for direction; you do not need to practice a fixed pose.
Before employees arrive
For an on-site session, the photographer and coordinator agree on the location, access, equipment space and schedule ahead of time. Lighting and a backdrop are arranged in a reserved area so portraits can be made with a repeatable look. Employees should receive clear directions rather than having to search the building for the setup.
A company headshot day and an open conference headshot lounge have different scheduling needs. The first may use assigned staff slots; the second may need an attendee queue around the event program. Confirm the plan for your event instead of assuming the same flow works for both.
Arrive close to your assigned time
Check your clothing and hair before entering the photography area. Bring the jacket, glasses or alternative top mentioned in the preparation note. If you are delayed, contact the coordinator rather than asking other employees to reorganize their appointments.
Let the photographer know how your image will be used and whether any particular crop matters. Mention comfort or mobility needs so the setup and direction can be adjusted appropriately.
Expect small, practical adjustments
You do not need to know a model’s pose. The photographer can guide posture, head position, shoulders and expression, then make small adjustments as images are taken. An expression that feels natural is usually more useful than trying to hold the same smile throughout.
If you wear glasses, keep them on if that is how colleagues and clients normally recognize you. The photographer can work with positioning and lighting rather than assuming you should remove them. Ask for clarification whenever a direction is uncomfortable or unclear.
Understand how review and selection work
Saratoga Headshot Company’s public session process includes live image review on screen. This gives you a chance to discuss expression and framing during the session. The organizer should confirm who makes selections and how approvals will work for the particular project.
Do not assume every event includes immediate delivery, the same number of finished images or a fixed amount of time per person. Those details belong in the agreed project plan. After your turn, follow the coordinator’s instructions and return to work or the event program.
The coordinator’s final checks
Keep an updated roster of who attended and who still needs a portrait. Confirm where final files will go and who will update company pages. Match filenames to names carefully before publishing so a well-run photo day is not followed by a confusing handoff.
- Reserve the photography area and an accessible waiting space.
- Keep arrival instructions and the roster in one place.
- Confirm selections, recipients and publishing responsibilities.
- Discuss missed appointments separately.
- Confirm delivery and any event-specific requirements in advance.
